Usage status of electronic document management system in public institutions: TRT example

The aim of this study is to determine the factors affecting the use of Electronic Document Management System (EDMS) of Turkish Radio and Television Authority (TRT) personnel within the framework of Personal Information Form (PIF) and developed technology acceptance model (TAM) scale, and investigate their views about EDMS. 304 TRT employees participated in the online survey through appropriate sampling. Data in the study was collected by online survey method. The research was carried out using mixed-method research. was used in the quantitative part of the survey, and open-ended questions were used in the qualitative part. Multiple regression and Kruskal Wallis H analysis was used for the analysis of quantitative data obtained from the survey, and content analysis was used for the qualitative data. Research findings revealed that the intention to use EDMS was influenced by the TRT employee's TRT service time, average duration of use of EDMS and frequency of entry of EDMS, and that the employee's gender, age, educational status and title did not affect the intention to use EDMS. In addition, perceived benefit, perceived ease of use, end-user support, job suitability, outcome demonstrability, anxiety and trust are important predictors of intent of use, while facilitating conditions and personal norms are not meaningful predictors. In qualitative results, it is among the advantages that EDMS provides convenience, is fast and practical. It is seen as a disadvantage that EDMS is complex, technical problems are experienced, and training and guide are insufficient. The participants demanded in-service training about EDMS, up-to-date guidance, and use of its mobile application. For future studies issues in cyber security at EDMS and mobile EDMS could contribute to the field.
